Departments must use contracted caterers that meet University business and insurance requirements. This policy is in place to ensure the safety and well-being of University employees and guests and to reduce risk to the University. When planning an on-campus event or function, please choose from the UCSC Approved Caterers' list below.
If you have worked with a caterer previously, but do not see them listed below, it is usually due to Certificate of Insurance or Health Permit having expired. In this case, submit a CruzBuy requisition and the Procurement buyer will take care of collecting the lapsed documentation while processing your requisition.
Events with Alcohol
Only Approved Caterers with Liquor Legal Liability Insurance in the amount of $1,000,000 are permitted to provide bar service and serve alcohol at events on campus.
If alcohol (including beer and wine) is being served by a vendor, supplier, contractor, then Liquor Legal Liability is required. For example, a caterer or bartender providing bar service at an event will be required to submit, and have on file in the PSCS office a certificate of insurance which includes evidence of Liquor Legal Liability. Policies through Risk Services and CampusConnexions are available for caterers that need to obtain Liquor Legal Liability coverage.
Caterer's that are approved to serve alcohol are noted with a green checkmark.
Caterer's that are
not approved to serve alcohol are noted with a red X.
Full-Service Catering & Contracting Out
All full-service catering events funded by UC Santa Cruz and held on the UCSC campus are required to use
UCSC Catering.
If for some reason UCSC Catering is unable to perform the services, they will provide an official 'Catering Services Declined' response email. Upon receipt, the campus client may obtain a quote from an outside full-service catering vendor. Once you have chosen a full-service caterer, complete the
Contracting Out Request form process. For more information on Contracting Out please see the
Contracting Out Website. Make sure to attach both the catering services declined email and completed and approved contracting out request form to your CruzBuy requisition.
Events with Mobile Food Vendors (Food Trucks)
Mobile Food Vendors (e.g. food trucks, tents, and pop-ups) paid by the campus to vend food at campus events are subject to
Contracting Out requirements. All such requests must be initiated well in advance of the event date due to stringent requirements related to Contracting Out and Facility Use Permit processes. UCSC Catering must be given first right of refusal for this work. If UCSC Catering is unable to perform the service a
Contracting Out Request (COR) form must be submitted in ServiceNow. All Mobile Food Vendors approved for Contracting Out must fulfill all requirements and sign a Campus Master Agreement as well as obtain a campus Facilities Use Permit. Make sure to attach both the catering services declined email and completed and approved contracting out request form to your CruzBuy requisition.
