If, for some reason, UCSC Catering is unable to perform the services, they will provide an official 'Catering Services Declined' response email. Upon receipt, the campus client may obtain a quote from an outside full-service catering vendor. Once you have chosen a full-service caterer, complete the
Contracting Out Request form process. For more information on Contracting Out, please see the
Contracting Out Website.
Please review the following Contracting Out Catering Webpages first, before proceeding with contracting out a caterer to fully understand supplier compliance requirements:
Make sure to attach the completed and approved contracting out request form (COR) to your CruzBuy requisition. Failure to attach the approved COR showing Labor Relations approval will result in the return of your requisition. Please plan accordingly and allow sufficient time for the approval process.
Alcohol (including beer and wine) served by a supplier or contractor at a campus event is subject to
Contracting Out requirements. UCSC Catering must be given first right of refusal for this work. If UCSC Catering is unable to perform the service a
Contracting Out Request (COR) form must be submitted in ServiceNow. In addition, only Approved Caterers with General liability as well as Liquor liability insurance in the amount of $1,000,000 are permitted to provide bar service and serve alcohol at events on campus. For example, a caterer or bartender providing bar service at an event is required to provide insurance. In the event alcohol is being sold, a valid ABC license is also required.

Caterer's that are
not approved to serve alcohol are noted with a red X.
Mobile Food Vendors (e.g. food trucks, tents, and pop-ups) paid by the campus to vend food at campus events are subject to
Contracting Out requirements. All such requests must be initiated well in advance of the event date due to stringent requirements related to Contracting Out and Facility Use Permit processes. UCSC Catering must be given first right of refusal for this work. If UCSC Catering is unable to perform the service a
Contracting Out Request (COR) form must be submitted in ServiceNow. All Mobile Food Vendors approved for Contracting Out must fulfill all requirements and sign a Campus Master Agreement as well as obtain a campus Facilities Use Permit. Make sure to attach both the catering services declined email and completed and approved contracting out request form to your CruzBuy requisition.
