Suppliers Approved to Provide Catering* for UCSC Events

*Note: the term “Catering” now only refers to covered services work and is defined below.

All catering events funded by UC Santa Cruz and held on the UCSC campus or at a University-owned or leased property are required to use UCSC Catering.
If, for some reason, UCSC Catering is unable to perform the services, they will provide an official 'Catering Services Declined' response email. Upon receipt, the campus client may obtain a quote from an outside full-service catering vendor. Once you have chosen a full-service caterer, complete the Contracting Out Request form process. For more information on Contracting Out, please see the Contracting Out Website.

What is Catering?

Catering includes food preparation, set-up, or food service on campus property, including:
  • Food is prepared/cooked by the supplier onsite; or
  • The supplier sets up the event onsite, which may include table cloths, chafing dishes, serving utensils, plates, napkins, etc. They will clean up and take away all food service-related items when the event has concluded; or
  • The supplier will remain on-site to serve food from a buffet, tableside, or by passing a tray.
  • Note: campus property refers to UC-owned or leased property

What Is NOT Considered Catering?

  • Takeout: food is picked up from an off-site restaurant or food provider.
  • Delivery: food is delivered by an off-site restaurant or food provider and dropped off on campus.
  • Events where an individual is leasing or renting a university-owned facility for non-university purposes, such as weddings.
  • Made-to-order food picked up from an off-campus food suppliers and restaurants is considered a “walk-in” order, is not considered catering, is not considered contracting out for covered services, and does not require use of an approved supplier.

Please review the following Contracting Out Catering Webpages first, before proceeding with contracting out a caterer to fully understand supplier compliance requirements:
  1. Catering Frequently Asked Questions (FAQ)
  2. Catering Requirements & Contracting Out For Catering
  3. Compliance Requirements for Covered Service Suppliers Working with the UC
Make sure to attach the completed and approved contracting out request form (COR) to your CruzBuy requisition. Failure to attach the approved COR showing Labor Relations approval will result in the return of your requisition. Please plan accordingly and allow sufficient time for the approval process.
