Scheduled Site Maintenance and Content Freeze Over Memorial Day Weekend
Beginning Friday 5/24 @ 5:30pm through Tuesday 5/28 @ 7am the Financial Affairs website will be undergoing scheduled maintenance. While the site will remain available in a read-only mode, some services will be impacted.

Notably, the Entertainment Dashboard and ERF/MET forms will be unavailable during this scheduled maintenance period. If you have questions or issues regarding this maintenance, please contact the web team at finaff-tech@ucsc.edu.

Financial Affairs Website: Planned Outage on 3/3/24 from 2:30am - 5:30am
The Financial Affairs website will be unavailable for 3 hours on Sunday morning, March 3rd, from 2:30am to 5:30am for scheduled system maintenance. This will impact access to systems such as CruzBuy, CruzPay, CruzFly, ERS, and FIS. Please plan accordingly and contact finaff-tech@ucsc.edu with any questions.​

US Bank Multi-Factor Authentication (MFA) Coming Soon
On August 13, 2022 US Bank will require users to setup Multi-Factor Authentication (MFA) when logging into the Access Online system.

To ensure a smooth transition to the new process, please log in to Access Online and check the email address listed in your user profile for accuracy.

Submitting Pro-Card Statements Electronically
Pro-Card Statements can now be submitted electronically using our DocuSign enabled web form. For more information on how to submit your statement electronically, please see the Pro-Card Guide: Submitting Your Statement section.

Change to Payment of Article Publishing Fees
Effective immediately, article publishing fees, publication charges, and page charges can now be paid either via Direct Payment web form or Pro-Card. A CruzBuy requisition will no longer be an acceptable payment method​.​​​​​​

Pro-Card Forms Receive the DocuSign Treatment
Three updated Pro-Card forms, and a new Statement Submission form, can be accessed from within our Forms Directory. The original PDF versions will continue to be available as well, for the time being.

US Bank Access Online Update
On September 12, 2020, US Bank will be updating their Access Online platform. Please note that this update may result in functionality outages over the 24 hours between 5 a.m. September 12 and 5 a.m. September 13.

This update will enable new features such as Multi-Factor Authentication and Remember Me, as well as Fingerprint Authentication for the Android mobile app. For more detail on these new features, please see the US Bank update notification.​

Pro-Card Statements and Submitting Via DocuSign
The Procard Office has recently prepared to receive Statements with electronic signatures via DocuSign in light of the ongoing global health crisis and our need for people to work remotely and electronically.

To assist with this process, a new Submitting Your Statement section of the Procard Guide has been established. This new guide material will provide a step by step process for signing and submitting statements to the Procard Office. Please follow the instructions outlined in the guide to ensure proper routing and receipt of your statements.​​​

U.S. Bank Access Online user authentication changes
In their continued commitment to provide secure systems and protect your data, U.S. Bank Access Online will soon be adding an additional authentication step. Beginning June 8, 2019, all U.S. Bank Access Online users will be required to answer an identity verification question as a part of the login process. In preparation for this change, we encourage you to verify your authentication questions and responses to ensure accuracy.

To view the authentication questions currently stored in the Access Online system and update if needed, log into Access Online and navigate to the Password area of My Personal Information. Once there, change or update questions or responses as needed.

​Updated Web Browsers Required May 30, 2018 For USBank Access

What’s Changing and Why?
To comply with new Payment Card Industry (PCI) data security standards, changes will be made to Access Online on May 30, 2018 that will impact some users' ability to utilize Access Online if they are using certain older browsers and operating systems.

How Does it Impact My Ability to Log On?
If you are using certain older versions of web browsers (or are unable to upgrade your operating system to allow use of a supported browser), you may not be able to use Access Online after May 30, 2018. If you are unable to log in after this date, please contact your IT support representative to obtain help in upgrading your system browser capabilities.

UCSC Pro-Card Application Updated: Full Legal Name Required
U.S. Bank has issued a requirement to collect each Pro-Card applicant's full legal name on new Pro-Card applications, including the full spelling of the Cardholder's middle name.

As you know, we are introducing additional enhancements to Access® Online this fall and we want to ensure that you continue to have the best and safest user experience possible. These changes—along with other enhancements made to Access Online over the last year—require use of the latest web browser versions to maintain security and ensure full compatibility for all users. As you may recall, Microsoft announced in January 2016 that only the most current version of Internet Explorer (IE11) would receive technical support and security updates.

Our records indicate that current Access Online users within your organization are using an older version of an Internet browser. If these older browsers are not upgraded before the newest enhancements launch on December 2, 2017, those users will no longer have complete access to the site.

To prevent a disruption of your access to the Access Online site, please upgrade your web browsers to the latest version by November 30, 2017. See compatible versions below.

Not sure what version you’re on? See below to determine your current version:

  • Microsoft Internet Explorer - browser version should be IE 11.
    From the IE menu bar, click Help and select About Internet Explorer.
  • Google Chrome - browser version should be Chrome 40.0.2214 or later. Launch
    Chrome, click Customize and control Google Chrome (the wrench icon) and then
    select About Google Chrome.
  • Mozilla Firefox - browser version should be Firefox 31.4.0 or later.
    From the Firefox menu bar, click Help and then select About Mozilla Firefox.
  • Apple Safari - browser version should be Safari 5.1 or later. Launch Safari, click
    Display a menu of general Safari settings (gear icon), and select About Safari.

NOTE: If you are currently running Internet Explorer 11 and received this message, your browser may have been configured to run in “Compatibility Mode” to accommodate older websites. In order to have complete access to the new Access Online enhancements on launch day, you will need to turn off compatibility mode in your Internet Explorer 11 browser. To disable Compatibility View, select Tools > Compatibility View Settings in the menu bar, then remove the check mark for Display all Websites in Compatibility View.

  • Firefox 31.4.0 and later
  • Chrome 40.0.2214 and later
  • Safari 5.1 and later

Effective July 29, 2017, Access Online will be upgraded to provide better security and increased efficiency. Please be aware of the following:
  • All clients will have a default setting of 180 days for User ID expiration. Users who do not log in within the defined period will be marked as "expired" and will need to complete additional steps to log back in.

Enhancements to U.S. Bank Access Online
Effective March 25, 2017, U.S. Bank Access® Online will be upgraded to offer a more secure and efficient way to manage your card program. Please find a brief list of enhancements here. For more detailed information, please view their release overview document.

Effective March 25, 2017, U.S. Bank Access® Online will be upgraded to offer a more secure and efficient way to manage your card program. Please find a brief list of enhancements below. For more detailed information, please view our release overview document. ​

  • On the next scheduled password change, stronger password complexity requirements have been established for increased security.

  • All user IDs are now required to have an email address on file. A user email will be requested at login if it is not already on file.

  • Several reporting changes have been made to increase the value of the Request Status Queue, Cash Advance, and Account Spend Analysis reports.

  • Additional Search Criteria: Users now have the capability to perform an account search by entering search terms in the Optional 1 and Optional 2 fields (configurable at the relationship level). For Canadian clients, these fields are listed as Employee ID and Password.

  • Custom Default Hierarchy: Users with multiple hierarchies can now select one of their assigned Processing and/or Reporting hierarchies as their default/favorite.
  • Program Administrator (PA) users can now schedule an update on account status.

  • Functional Entitlement Selection: System administrator and program administrator users can now view and select multiple Functional Entitlement Groups to assign to users.

  • Dispute Email Notifications: Cardholders may now elect to receive email notifications regarding status changes for transaction disputes.

Pro-Card Simplification Phase One Completed

The first phase of Financial Affairs' Pro-Card process simplification has been completed, and as a result, the following updates have been published and are effective immediately:

  • The Pro-Card Process page has been redesigned to help users more effectively navigate through important information pertinent to cardholder, supervisor and PCA roles
  • Our Cardholder and Supervisor quizzes (linked below) have been reduced from 35 to 15 questions (13/15 to pass); these simplified quizzes now focus only on the most important information that cardholders and supervisors need to know
  • New information has been added to the Pro-Card Guide regarding MCC codes, reasons for declined transactions, as well as updated contact information
  • PDFs: The Pro-Card forms have been modified and will no longer trigger an error message when opened in your web browser
  • Additional enhancements to Pro-Card business processes are being analyzed, and we expect to identify improvements that will be incorporated in the next phase of the Pro-Card simplification project

U. S. Bank - Personal Identification Number (PIN) Selection During Card Activation
Effective November 14, 2016, when a cardholder activates a card via the Call Center, they will be prompted to select a 4-digit Personal Identification Number (PIN). As a result, the cardholder has an immediate, more secure method to obtain a PIN of their choice, while eliminating the waiting period to receive a PIN in the mail.

Important to know:
  • If a cardholder calls to activate their card and select a PIN on or after November 14, they may still receive a PIN mailer depending on when the card was ordered. If this occurs, the cardholder should discard the PIN received in the mail as it will not match the PIN they selected.
  • PIN change functionality via the Call Center will remain. In order to change their PIN, cardholders will need to enter their current PIN. If they do not remember their current PIN, they will need to request a PIN Mailer.
